An alternative way is to first pick a date. People just confirm if they are going to be there on the date. Then everyone can write down what they will bring to the bbq. for example person a and b can bring drinks, c and d can bring paper plates or other stuff-- kinda like potluck style. this way no one is responsible for everything. it saves a lot of trouble.

This is usually how it works for these BBQ events here in Nor Cal.

We have no trouble setting up meets, I set up a Tanforan garage meet for gods sake. Anybody that is interested in setting up a meet go create a new post in the Norcal section pick a time and place, make sure there are no car shows going on during that time and bam you got yourself a car meet/BBQ.
