I dont think you should set the date so that its only convenient to your group guys...

I think you should pick a good day on a weekend, hopefully sunny, and a day that has no other events conflicting with it. A nice location and leave it a set date so that others can be notified ahead of time.

No point in having the meet if you change it every couple days just cuz one or two of your group of friends cant make it.
